ROLES & RESPONSIBILITIES OF THE COMMITTEE

 

Chairman - Description

 

General Meetings of the Club

 

Chairs Annual General Meetings

Chairs Extraordinary General Meetings

 

Committee Meetings of the Club

- Chairs monthly Committee Meetings

- Oversees the running of the club through delegation to committee members.

- Ensures that a full compliment of committee members is maintained during the period in office.

- Ensures that an Agenda is produced and followed.

-         Ensures all committee members are aware of topics for discussion at the following committee meeting.

-         To act as second signatory for band cheques

- Ensures that meetings are conducted in an orderly fashion / manner.

- Ensures that all committee members have the opportunity to express opinions without impeding the meeting progress.

- Ensures that the club is run in accordance with the articles laid down in the IVC Constitution.

-  To assist fundraiser and source ways of receiving local grants/sponsorship etc for the band.
- Ensure that membership is maintained, and provide a pro active approach towards recruitment in direct consultation with the Pipe Major & Drum Sergeant

 

 

Secretary -  Description

 

General Responsibilities

 

-To write minutes of committee meetings and distribute to all committee members irrespective of their attendance.

-To write minutes of Annual General Meeting.

-To maintain records of all minutes of committee meetings and AGMs.

-To write to prospective members whose application for membership has / has not been successful

-To receive and send out any correspondence related to the organisation of the club.

-To advise  of change of address of any of Chairman, Secretary, Treasurer,  email and web addresses.

-To act as third signatory for band cheques.

-To maintain membership records

-To maintain band equipment records in conjunction with Quartermaster

 

 

Treasurer -  Description

 

General Responsibilities

 

-To maintain an up to date statement of the band accounts.

-To ensure that a summary of the cumulative and monthly accounts are made available to all committee members at each committee meeting. Such summaries to be distributed by post to those absent from a committee meeting.

-To draw attention to appropriate committee members of any significant trends re: underspend / overspend in specific areas in a timely period.

-To act as First signatory for band cheques.

-To ensure that band cheques are distributed to the appropriate recipients in a timely manner.

-To advise bank / building society of change of address and change of signatories.

-To oversee finances of individual band events, to ensure that such events are economically viable.

-To bank all cheques received and check bank statements.

-To ensure that an adequate balance is maintained within the bank account and arrange for transfers to / from building society account as required.

-To prepare Year end accounts and ensure that the accounts are audited prior to the AGM.

-To prepare proposed budget for the next financial year and seek agreement from the committee prior to the AGM.

-To present a written and verbal report to the AGM on the financial affairs of the band over the past year and to propose the budget for the following year.

 

Quartermaster - Description

 

General Responsibilities

 

-Maintain the equipment database, advise Secretary of equipment issue and returns.

-Ensure all deposits were applicable are paid in full and correctly recorded, and advise Treasurer.

-Advise Secretary of potential members, including brief contact details.

-Advise Secretary of new members, including full contact details.

-Advise Secretary of ex members.

-Advise Treasurer of forthcoming re-imbursements of deposits inc amounts, -ensuring returned equipment is in good order.

-Ensure all equipment issued is fit for purpose.

-Ensure all members are fully aware of maintenance and care procedures of all items of equipment.

Ensure a smart standard is maintained by all members at all times when representing the band in uniform.

 

  Transport Description

General Responsibilities

 

-To provide transport to competitions as and when needed, sourcing the best price possible.

-To link in with all band members who may be experiancing problems with transport and where possible providing solutions.

 

  Fundraising Description

General Responsibilities

 

-To bring advice to the committee regarding ways of raising funds for the band.

-To attend/organise fundraising events.

-To source ways of receiving local grants/sponsorship for the band.
